Job Title: Remote Administrative Assistant

About the Role
We are seeking a dependable and highly communicative Administrative Assistant to support our home care operations. This role is a key point of contact for both clients and caregivers and plays an important part in ensuring a smooth experience from initial inquiry through ongoing service. The ideal candidate is organized, comfortable on the phone, detail-oriented, and enjoys helping people. You’ll be supporting intake, caregiver onboarding, documentation, and general administrative functions that keep the office running efficiently.
Key Responsibilities
Client & Family Support
- Answer incoming phone calls and emails in a professional, friendly manner
- Assist clients and families throughout the intake process from start to finish
- Help guide clients through applications, documentation, and next steps
- Serve as a consistent point of contact throughout the client lifecycle
Caregiver Onboarding & Support
- Assist with onboarding new caregivers and collecting required documentation
- Support caregivers with administrative questions and follow-ups
Maintain accurate caregiver records and files
- Administrative & Documentation
- Process and maintain client and caregiver records
- Document RN Supervisor visits and service notes accurately and on time
- Ensure all documentation is complete, organized, and up to date
- Assist with general administrative and office support tasks, Systems & Coordination
- Work within internal home care management systems (such as HHAeXchange or similar platforms)
- Accurately enter, update, and manage information within internal systems
- Adapt to new systems and workflows as the agency evolves
- Communicate clearly with internal staff regarding updates, issues, and follow-ups
Required Skills & Qualifications
- Strong verbal communication skills (top priority)
- Clear, professional, and empathetic communication style
- Strong written documentation skills and attention to detail
- Bilingual preferred (Spanish/English), but not required
- Comfortable working with home care or healthcare management systems (or similar tools)
- Tech-savvy and able to learn new systems quickly
- Highly organized and able to manage multiple tasks
- Previous experience in home care, healthcare administration, or a similar role is a plus
