Job Overview
Although the title is Executive Administrative Assistant, the role is primarily project coordination and task management, not traditional EA calendar work.
You’ll support two senior leaders by tracking progress, organizing information, managing follow-ups, and ensuring communication stays clear across multiple teams.
The ideal candidate is mature, detail-oriented, and highly organized with strong skills in project tracking, reporting, and cross-functional coordination. Experience managing or coordinating remote teams is a major plus.
Key Responsibilities
Project Coordination & Follow-Through
- Track multiple active projects, tasks, and deadlines across departments
- Create and maintain organized systems to ensure nothing falls through the cracks
- Proactively follow up with team members to confirm status updates and next actions
Reporting & Documentation
- Prepare clean, concise weekly reports and progress summaries for executives
- Document project details, decisions, and next steps
- Capture meeting notes and translate them into actionable task lists
Cross-Functional Communication
- Coordinate with internal teams, field teams, and external partners
- Relay instructions, priorities, and deadlines with clarity
- Maintain fluid communication to ensure alignment across remote or distributed teammates
Process Retention & Workflow Support
- Learn existing processes quickly and maintain consistency in execution
- Identify inefficiencies and suggest workflow improvements
- Support leadership by keeping operations organized, documented, and predictable
Light Administrative Support
- Assist with drafting emails, preparing documents, or organizing shared files
- Provide general executive support when needed

Qualifications
- 5–10+ years of experience in project coordination, administrative project management, operations, or similar roles
- Strong ability to track multiple moving parts with excellent follow-through
- Exceptional written and verbal communication skills
- Experience working with or coordinating remote or field teams (major plus)
- Proficiency in Google Workspace, MS Office, and common project management tools
- Strong independent judgment and ability to move work forward without hand-holding
- Professional, calm, and reliable in fast-moving environments
