Job SummaryWe are looking for a highly organized and motivated Administrative Assistant to support our radio promotions department. This entry-level role is ideal for someone looking to build a career in the creative industries. Full training will be provided, so no prior industry experience is necessary — just a strong work ethic, great attention to detail, and a willingness to learn
Key Responsibilities (Training will be provided for all responsibilities below)
1. Administrative Support
- Organize and maintain internal filing systems, shared drives, and promotional materials
- Schedule team meetings and client calls, and manage team calendars
- Assist in the coordination of campaign activities and deadlines
- Handle general office admin tasks (emails, document formatting, invoice tracking, etc.)
2. Music Campaign Support
- Learn how to prepare and distribute music and press materials to radio stations
- Help manage internal databases for contacts and campaign assets
- Monitor digital delivery systems and ensure smooth operations
3. Research & Reporting
- Support the team with research on radio stations, presenters, and show opportunities
- Learn to track airplay and prepare basic performance reports for clients
- Assist in preparing slide decks, summaries, and updates for clients
4. Communication & Collaboration
- Help coordinate communication between departments (e.g. digital, press, and creative teams)
- Draft and send basic follow-up emails to contacts (templates and training provided)
- Join team brainstorms and contribute to new campaign ideas
5. Digital & Social Media Support
- Monitor radio stations and music industry social media for relevant updates
- Help collect content for Propeller’s own social media channels (with guidance)
Requirements
Skills & Attributes:
Essential (We will train you on technical skills):
- Interest in music, media, or promotions
- Strong organizational and time management skills
- Great written and verbal communication
- Basic computer literacy (email, Word/Docs, spreadsheets)
- Proactive attitude and willingness to learn
Desirable (Not required, but nice to have):
- Experience using Microsoft Office or Google Workspace
- Familiarity with social media platforms (Instagram, X, LinkedIn)
- Any prior admin, internship, or assistant experience
