The Role Staffinity is currently seeking a Bilingual Administrative Assistant to support a high-performing financial underwriting team. This is a permanent position. The successful candidate will be a detail-oriented professional responsible for the administrative management of new business files and preliminary cases. You will act as a vital link between advisors and carriers to ensure smooth processing and efficient case management.
Responsibilities:
Database Management: Maintain internal underwriting databases, including confidential files, resource information, and key contact sections.
Case Coordination: Establish and maintain preliminary files, ordering all necessary requirements and conducting rigorous follow-ups to ensure timelines are met.
Liaison & Scheduling: Collaborate with advisors and vendors to coordinate scheduling and special requirements (exception handling, fee approvals, and short-notice requests).
Underwriting Support: Assist senior underwriters in managing complex, high-value cases from initial intake through to carrier approval and final transition.
Research & Risk Assessment: Conduct internet research to assist in risk assessment, applying strong judgment to identify material findings and escalate potential risks.
Reporting: Update weekly tracking reports and strengthen management data to help the team effectively chart performance and direction.
Qualifications:
Bilingualism: Fluency in both written and spoken English and French is mandatory.
Experience: Minimum of 5 years of experience in a financial or insurance environment.
Education: Undergraduate degree in a business-related program is desirable; industry designations (such as FLMI, ACS, or AIAA) are a significant asset.
Technical Skills: Advanced proficiency in Microsoft Office (Word, Excel, Outlook) and experience navigating internal CRM systems.
Soft Skills: Exceptional organization, time management, and the ability to handle highly confidential material with discretion.
