The Administrative Assistant provides essential support to ensure efficient operation of the office. ESSENTIAL JOB FUNCTIONS
Billing
Invoicing all service work orders
AR (In
Emailing work order copies to appropriate personnel concerning tank sets, pickups, or movements
Adding/moving tank assets in E3
Adding maintenance notes into truck repair software
Coding and scanning vendor invoices
Managing the Purchase Order Spreadsheet
Contacting vendors for invoices as needed
Managing Truck Service alerts and PM schedules with division managers
Sending out monthly reminders
“Refueler” Truck Maintenance log management
Keeping up with movements
PM Schedules
Assisting with Month End Inventory counts and reconciliations
Tracking down missing items
Bi-Weekly aviation filter counts as needed
Spot checking higher priced items
Qualifications
EDUCATION & QUALIFICATIONS:
Minimum 3 years’ experience in administrative duties
Valid NC Driver's License
Excellent communication and organizational skills
Possess advanced analytical skills
Experienced computer skills working in Excel
Commitment to Excellence and holding team to highest standards
Team player that enjoys collaborating with coworkers
Advanced Microsoft Excel skills, proficiency with computers. Experience with other financial systems.
