Agency Systems Administrator – Applied Epic
Position Summary:
We are seeking a highly skilled and detail-oriented Agency Systems Administrator to support the configuration, operation, and ongoing optimization of our Agency Management System (AMS), Applied Epic, and ancillary tools. This role reports to the Director, Agency Systems & Solutions, and partners closely with Product Owners, IT, Data, and Training teams to ensure Epic is stable, secure, and aligned with organizational standards
This position will require occasional weekend or after-hours work for system testing, planned outages, upgrades, or migrations.
Key Responsibilities:
System Administration & Configuration
- Manage and monitor user setup, permissions, security roles/groups, and user access audits
- Monitor system stability and escalate systemic issues as appropriate
- Coordinate with IT and Applied Systems on updates, patches, new releases, and environment changes
- Support release testing, including occasional weekend or after-hours participation during deployments, outages, or system maintenance
- Maintain documentation of system changes, configurations, and standards
- Implement workflow changes defined by Product Owners and the AMS Owner
- Collaborate with Training and Data teams to ensure alignment, accuracy, and consistent user experience
- Stay current on Applied Systems’ roadmap and broader Insurtech ecosystem developments to identify opportunities for system enhancement and innovation
Operational Support & Issue Resolution
- Serve as a subject-matter expert for Applied Epic functionality and best practices
- Contribute to the technical knowledge base, including Known Errors, Workarounds, and FAQs
- Develop and contribute to release notes and support Training’s creation of user-facing job aids
- Work cross-functionally with internal teams and external vendors to support escalations, troubleshooting, and root-cause analysis efforts
- Manage IVANS/carrier downloads and ensure accurate data mapping and validation
Data Quality & Compliance
- Help establish and enforce system-wide data standards and quality controls
- Perform recurring data audits and coordinate corrective actions
- Design, build, and distribute system reports and dashboards to end users
- Support agency leaders with data analysis for production, retention, and profitability insights
- Assist with internal and external compliance and audit requirements
Process Improvement, Projects & Strategic Support
- Lead or participate in process improvement initiatives focused on efficiency, data integrity, and user experience
- Support and/or manage system enhancement projects, including integrations, migrations, new features, and workflow optimization
- Collaborate cross-functionally to identify opportunities to leverage Epic and ancillary systems more effectively
- Evaluate new Epic features, tools, integrations, and Insurtech capabilities to recommend adoption strategies
- Contribute to continuous improvement of governance, documentation standards, and operating procedures
Qualifications:
- 3–5+ years of experience administering Applied Epic
- Solid understanding of Property & Casualty (P&C) agency operations
- Proven experience managing system security, workflows, templates, and reporting
- Experience supporting system migrations and/or multi-agency Epic environments
- Familiarity with system integrations and data management tools
- Working knowledge of change management methodologies and/or Agile practices
- Demonstrated ability to contribute to or lead cross-functional projects
- Strong analytical, problem-solving, and communication skills
- Ability to work both independently and collaboratively in a fast-paced, dynamic environment
- Willingness to travel up to 30% as needed
- Ability to pass a criminal background check, as permitted by law
Remote Work Environment: Preference given to candidates in Eastern or Central U.S. time zones
