We are seeking a detail-oriented Remote Records Administrative Assistant to manage digital records and support records management processes in a virtual office environment. The ideal candidate will maintain accuracy, confidentiality, and compliance while supporting cross-functional teams.
Records Administrative Assistant is responsible for maintaining, organizing, and safeguarding company records in a secure virtual environment. This role ensures the accuracy, accessibility, and compliance of digital records while supporting administrative operations across departments.
Key Responsibilities
Maintain and update electronic records and document management systems
Organize, classify, and archive digital files according to company policies
Ensure proper record retention and disposal procedures are followed
Respond to internal and external requests for information or records
Perform accurate data entry and verify record completeness
Prepare reports and summaries related to records management
Assist with audits and compliance documentation
Monitor record access and maintain confidentiality of sensitive information
Coordinate with departments to ensure accurate documentation processes
Provide general administrative support as assigned
Requirements
High school diploma or equivalent (Associate’s degree preferred)
1–3 years of administrative, clerical, or records management experience
Proficiency in Microsoft Office Suite or Google Workspace
Strong data entry and organizational skills
Excellent attention to detail and accuracy
Knowledge of document retention policies and compliance procedures
Strong written and verbal communication skills
Ability to work independently in a remote environment
