We are looking for an experienced Medical Administrative Assistant who can not only provide exceptional administrative and clinical support to our healthcare providers but also contribute to shaping and strengthening our EU team from the ground up.
This role is essential in facilitating seamless provider-patient communications, managing electronic medical records (EMR), coordinating pharmacy services, and ensuring efficient telehealth operations. The ideal candidate will deliver outstanding support while helping establish robust workflows and processes, maintaining high standards of patient care and provider satisfaction, and playing a key role in the growth of our EU presence.
Requirements
Required:
- Bachelor's degree in Healthcare Administration or a related field.
- At least 2 years of experience as a Medical Administrative Assistant.
- Strong understanding of medical terminology and healthcare workflows.
- Solid understanding of HIPAA guidelines with strict adherence to patient privacy and data protection.
- Ability to communicate and collaborate effectively with U.S.-based customers.
- Fluency in English and Russian.
- Ability to work remotely in the EU in a fixed schedule aligned with GMT-5 (11 AM - 8 PM). The role is based on a five-day workweek with a non-standard start day (the week may begin on any day, depending on operational needs).
Preferred:
- Experience in mental health or telehealth settings.
- Knowledge of pharmacy operations and prescription processes.
- Relevant healthcare administration certifications.

Responsibilities
Provider Support Management:
- Serve as the primary support contact for assigned healthcare providers.
- Monitor and respond to provider inquiries through internal communication channels.
- Prioritize and resolve provider concerns in a timely manner.
- Maintain ongoing communication with clinical leadership regarding provider needs and issues.
- Assist providers in sustaining efficient and compliant clinical workflows.
Patient Care Coordination:
- Manage incoming patient communications via phone, email, and chat.
- Coordinate follow-up appointments, medication requests, and care-related actions.
- Process and document patient inquiries using standardized templates and protocols.
- Facilitate verification processes and ensure accurate data collection.
- Update and maintain patient documentation within electronic medical record systems.
Pharmacy Operations:
- Coordinate pharmacy updates and prescription-related changes.
- Document medication concerns directly in the patient's medical records.
- Assist in the processing of electronic prescriptions and related tasks.
- Act as a liaison among providers, patients, and pharmacies.
- Ensure all prescription information is accurate and current.
Clinical Administration:
- Maintain accurate and up-to-date documentation within CRM and EMR systems.
- Process intake verifications and manage appointment scheduling.
- Support the creation and management of electronic prescriptions (eRx).
- Collaborate with the billing/refund team to resolve patient account issues.
- Complete daily priority tasks within established timelines and operational guidelines.
