Role Overview

We are seeking a highly organized, proactive, and discreet Executive Assistant to the CEO to provide comprehensive administrative and strategic support. This remote position is critical for maximizing the CEO's effectiveness and ensuring seamless operations at the executive level. The ideal candidate will anticipate needs, manage complex schedules, handle sensitive information with utmost confidentiality, and serve as a crucial liaison, enabling the CEO to focus on strategic initiatives and business growth.

Key Responsibilities

Daily Tasks

Manage and prioritize the CEO's complex calendar, including scheduling meetings, appointments, and travel arrangements.
Prepare and organize documents, presentations, and reports for meetings and external communications.
Filter and prioritize incoming communications (emails, calls), drafting responses and handling requests as appropriate.
Conduct research and compile information to support decision-making and strategic planning.
Coordinate and manage logistics for internal and external meetings, ensuring all necessary materials are prepared.

Project Involvement

Assist in the planning and execution of strategic company initiatives and special projects.
Facilitate communication and collaboration between the CEO and internal teams, as well as external stakeholders.
Oversee and streamline administrative processes to enhance executive efficiency.
Prepare financial and operational summaries as needed for executive review.

Qualifications

Required Skills & Experience

1 year of proven experience as an Executive Assistant supporting C-level executives, preferably in a remote or tech-driven environment.
Exceptional organizational and time-management skills, with the ability to manage multiple priorities and meet tight deadlines.
Superior written and verbal English communication skills, with a professional and polished demeanor.
High level of discretion and confidentiality when handling sensitive information.
Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) or Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Strong problem-solving abilities and a proactive approach to anticipating needs.
Reliable high-speed internet connection and a dedicated, quiet home office environment.
Availability to work US PST business hours.

Preferred Skills & Experience

Bachelor's degree in Business Administration or a related field.
Experience with project management tools (e.g., Asana, Trello, Jira) or CRM systems.
Familiarity with the recruitment, staffing, or online marketplace industries.
Experience working directly with international teams or stakeholders.
