Job Overview:

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive support to our CEO. This pivotal role requires exceptional administrative, communication, and project management skills. The ideal candidate will be a self-starter, capable of managing multiple priorities, anticipating needs, and ensuring the smooth and efficient operation of the CEO's daily and strategic activities. This role is crucial for providing the CEO with timely and consolidated information to drive key business decisions.

Responsibilities:

Gather reports: Collect, combine, organize, and verify weekly/monthly reports from various departments.
Track sales KPIs: Monitor and analyze sales performance metrics, providing clear summaries.
Coordinate vendors: Manage requirements and submissions from external partners.
Follow up on deliverables: Track and address overdue items from vendors.
Maintain confidential records: Keep vendor contracts, deliverables, and company files organized and secure.
Manage CEO's calendar: Proactively schedule and coordinate the CEO's meetings and appointments.
Prepare meeting agendas: Create and distribute meeting plans with necessary materials.
Record meeting outcomes: Attend meetings, take detailed minutes, and document action items.
Monitor action items: Track progress and follow up on assigned tasks to ensure completion.
Manage CEO's emails: Handle and prioritize the CEO's email, drafting responses.
Prepare documents: Create presentations, reports, and other necessary documents.
Assist with projects: Support the CEO with research, data collection, and project coordination.
Maintain financial records.
Provide daily updates: Give the CEO daily progress reports.
SMM: Manage the company's social media accounts

Qualifications:

Proven experience (3+ years) as an Executive Assistant supporting senior-level executives, preferably a CEO.
Exceptional organizational and time-management skills with a strong ability to prioritize and manage multiple tasks simultaneously.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong Excel skills are essential for data consolidation and analysis.
Excellent written and verbal communication skills, with the ability to draft professional emails, reports, and meeting minutes.
Demonstrated experience in coordinating with external vendors and contractors.
Strong attention to detail and a high degree of accuracy.
Ability to work independently, take initiative, and anticipate the CEO's needs.
Proven ability to handle confidential information with discretion and maintain a high level of professionalism.
Experience leading meeting agenda creation and effectively documenting meeting minutes and action items.
Familiarity with project management tools and methodologies is a plus.
Ability to work within 8:00 to 5:00 PM PST time zone hours
