This role is essential in providing a wide array of administrative support that aids in the smooth operation of the organization. Accountabilities- Answer telephones promptly and assist residents with questions and concerns.
- Track resident issues to enable the Property Manager to identify major problems or trends.
- Maintain Association files, mail, binders, and office supply inventory.
- Attend Board Meetings as requested.
- Create/post newsletters and notices; assist the manager with updating the website as needed.
- Maintain homeowner roster, database, mail instructions, and homeowner files.
- Assist in reviewing leases and processing new owner approval and interview packages.
- Review receivable reports and assist the property manager in forwarding collection packages to counsel.
- Input/process/close work orders as required for various services.
- Record miscellaneous income in assigned software.
- Assist residents with account balance inquiries, discrepancies, and refunds.
Requirements- High school diploma or equivalency required.
- A minimum of one (1) year of administrative support or related work experience is required.
- Intermediate command of computer hardware/software, specifically Microsoft Office Suite.
- Strong customer service, communication, and interpersonal skills.
- Ability to handle and diffuse conflict situations.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to prioritize tasks in a fast-paced environment.
- Multiple language fluency is desirable and may be required.
- Ability to respond with integrity, professionalism, and confidentiality.
