About the Client:
Independent health insurance broker based in California who provides a highly personal, relationship driven experience for clients, including Medicare and Covered California enrollments. The business is growing quickly and needs reliable support to respond to inbound demand, follow up leads, and keep clients engaged year round.
About the Role:
This is a full time support role for a health insurance agent. The main goal is to act as a true co-pilot who keeps the day organized, follows up quickly on warm lead lists, and schedules the agent efficiently by location so travel days produce multiple appointments. This person must be comfortable on the phone with older clients, communicate clearly in writing, and handle sensitive information with care. Spanish speaking is strongly preferred since it unlocks a large market and will support real time translation when needed. Project management skills are a plus because the role involves running multiple moving pieces at once and keeping everything on track.
Key Responsibilities
• Manage scheduling and calendar organization for the agent
• Call warm leads and coordinate appointment times based on travel plans and target areas
• Build efficient daily schedules so the agent can meet multiple clients per trip
• Confirm appointments, send reminders, and reduce no shows
• Maintain a clear follow up queue and reschedule as needed
• Flag urgent live transfer calls or time sensitive leads for immediate handling
• Contact leads from Excel lists provided by referral sources and call centers
• Use approved messaging to introduce the agent and build trust quickly
• Log outcomes, objections, and next steps consistently
• Follow up within required timelines when leads are expecting contact
• Escalate high value opportunities immediately when needed
• Support existing clients with basic requests, updates, and routing questions
• Help maintain ongoing touchpoints so clients stay engaged for renewals
• Assist with simple outreach campaigns and relationship follow ups
• Gather and organize pre appointment details such as doctors, specialists, and medication lists when approved
• Assist with translation support during calls with Spanish speaking clients when needed
• Create clean summaries and notes so the agent can focus on education and enrollment
• Maintain accurate notes in a CRM or tracking system and keep data clean
• Help set up and manage a CRM from scratch if needed, including importing contacts and organizing pipelines
• Track tasks, priorities, and deadlines to keep daily operations running smoothly
• Propose workflow and script improvements based on results
• Work within HIPAA aware processes and handle sensitive information responsibly
• Follow privacy and security guidelines strictly
• Use tools such as VoIP systems, calendars, spreadsheets, and CRMs
• Work with CRMs such as GoHighLevel, Zoho, Salesforce, or similar
Qualifications & Skills
• Strong spoken and written English with clear and professional communication
• Confident and warm phone presence with strong people skills
• Highly organized with strong follow through and attention to detail
• Comfortable handling objections and maintaining calm, helpful conversations
• Mature mindset and commitment to a long term role
• Comfortable using spreadsheets, calendars, and CRM systems
• Discreet and trustworthy when handling sensitive information
• Spanish speaking preferred
• Experience in healthcare, insurance, medical scheduling, or patient intake preferred
• CRM setup or administrative experience preferred
• Project management skills including task tracking and prioritization preferred
• Experience supporting older clients or high trust services preferred
