AI-INTEGRATED ADMINISTRATIVE ASSISTANT

We are currently looking for an AI-Integrated Administrative Assistant with high learning aptitude who is eager to bridge the gap between traditional administrative support and future AI orchestration. While the initial focus will be on coordination and communication, the role is structured to evolve into a technical position responsible for running and orchestrating AI agents by 2027.

CORE RESPONSIBILITIES
· 1. Administrative & Operations Coordination
· Manage and coordinate professional email communications and outreach.
· Organize and schedule meetings with providers and internal stakeholders.
· Maintain high-quality data management and organizational structures to support team efficiency.
· Provide detailed follow-up support on tasks generated during provider calls and internal meetings.
· 2. Communication & Client Engagement
· Participate in "ride-along" shadow calls with providers to gain industry knowledge.
· Gradually transition from shadowing to leading communication and tasks independently.
· Participate in weekly team debriefs and bi-weekly client status meetings.
· Adhere to structured training methods, including pre-call preparation and post-call debriefing sessions.
· 3. AI Evolution & Technical Growth
· Utilize Large Language Models (LLMs) and AI tools to optimize daily workflows.
· Develop the skills necessary to run, manage, and orchestrate AI agents and cloud-based tools.
· Commit to continuous learning through the company’s educational allowance to stay ahead of 2027 AI goals.
REQUIRED EXPERIENCE & QUALIFICATIONS
· 3+ years of proven experience as an Executive Assistant, with demonstrated experience providing high-level administrative and strategic support to C-level executives.
· Exceptional ability to learn new technologies and industry concepts quickly.
· High comfort level with Microsoft Office Suite. Previous experience with title-specific software (Qualia, SoftPro, or RamQuest) is a significant advantage.
· High level of structure in managing data, follow-ups, and documentation.
· English proficiency at a C1 level (approx. 80-85% or higher).
· Familiarity with LLMs and a strong desire to learn cloud code and AI agents.
