We are seeking a professional, friendly, and highly communicative Legal Intake Virtual Assistant to join the Valgorithm team. In this role, you will support one of our U.S.-based legal clients primarily by answering inbound phone calls, speaking with potential clients about employment-related concerns, and completing structured, script-based intake forms using MyCase. This is a call-focused role, and the majority of your time will be spent handling phone conversations with empathy, clarity, and professionalism.
As a Valgorithm VA, you’ll be part of our internal team. You will report directly to both the client and Valgorithm. While you will serve a specific client, you are fully supported, managed, and paid through us — and we expect you to actively contribute to our culture of professionalism, ownership, and teamwork.
Responsabilities
Client Intake & Call Handling
- Answer inbound phone calls with professionalism, warmth, and empathy
- Follow a structured intake form in MyCase to gather information accurately
- Ask standardized questions related to employment matters and document responses clearly
- Reassure callers and guide conversations without providing legal advice
- Escalate urgent or sensitive cases according to established guidelines
- Create a positive first impression and build trust with potential clients
Communication & Documentation
- Record accurate notes and update intake records in MyCase
- Respond to basic inquiries using provided scripts and guidelines
- Maintain clear, timely communication with the client and internal team
Additional Support (Occasional)
- Assist with light administrative tasks as needed (e.g., updating records, scheduling, or follow-ups)
Valgorithm Team Responsibilities
- Participate in internal check-ins, updates, and feedback sessions
- Follow Valgorithm’s processes, standards, and communication expectations
- Use Google Workspace, Slack, and task tools to stay organized and efficient
- 1+ years of experience as a legal assistant, paralegal, or virtual assistant supporting legal professionals
- Experience in a client-facing, phone-based role, such as legal intake, call handling, or customer support
- Familiarity with legal case management or CRM systems (MyCase preferred; training provided)
- Strong proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Drive)
- Comfortable using Slack for internal communication and coordination
- Excellent spoken and written English, with a calm, professional phone presence
- Strong communication skills, especially when handling sensitive or emotional conversations
- High emotional intelligence and empathy, with the ability to make callers feel heard and supported
- Trust-building mindset and confidence in guiding structured conversations
- Strong attention to detail and ability to follow structured processes independently in a remote environment
- Ability to maintain confidentiality and handle sensitive legal information with discretion
Work Environment Requirements
- Dedicated computer (not shared) with at least 8GB RAM and up-to-date security software
- Reliable primary internet connection (minimum 20 Mbps download / 10 Mbps upload)
- Backup internet connection (e.g., mobile hotspot, pocket WiFi, or prepaid modem)
- Quiet, distraction-free workspace suitable for handling confidential phone calls
- Licensed operating system: Windows 10 or higher, or macOS v10.15.5 or higher
30-60-90 Day Plan
First 30 Days
- Complete onboarding and training on tools, intake scripts, and workflows
- Shadow calls and begin handling intake calls with support
Days 31–60
- Independently handle inbound intake calls
- Accurately document information in MyCase and escalate cases as needed
Days 61–90
- Consistently manage intake calls with professionalism and empathy
- Support light administrative tasks and maintain clear communication
- Full-time, long-term role with a stable schedule
- Employed, managed, and supported directly by Valgorithm
- Structured onboarding and training with clear scripts and processes
- Paid non-working U.S. holidays (as applicable)
