Your Next Career Opportunity – Senior Payroll Specialist
The Senior Payroll Analyst is responsible for processing multiple payrolls for the company's international operations in a timely manner. The role is also responsible for ensuring all reports, audits, and taxes are completed and compliant with regulations in each international location. Performs complex accounting functions related to verification and reconciliation of payroll, employee leave information and other applicable deductions.
What You Will Do – Primary Responsibilities
- Process semi-monthly and monthly payroll for employees across multiple countries in a timely manner per payroll processing schedule, including the reporting of payroll changes as well as verify earnings and deductions for overtime, bank of hours, on-call payments, commissions, equity transactions, discretionary bonus, garnishments, social security, income tax, etc., and ensure they are applied accurately.
- Responsible for processing all off-cycle payrolls where needed.
- Provide general guidance to non-senior payroll positions.
- Reconcile and resolve complex processing and employee pay issues. Audit payroll calculations prior to transmission for any inaccuracies utilizing lateral payroll reports. Month-end close checklist to update vacation metrics, and government reporting sites, and maintain payroll department backup files
- Monitor payroll tax reporting to ensure compliance with appropriate governmental agencies and follow-up on timely filing of monthly, quarterly, and annual regulatory reports. Assist in company audits, regulatory and general ledger inquiries from internal and external auditors.
- Ensure payroll reporting and payments are compliant with IFRS at international locations.
- Research and respond to inquiries from employees, managers or external sources, providing input and guidance for resolution of payroll related issues.
- Generate Business Intelligence Reports daily to ensure employees are paid correctly in the system and calculating retro pay when necessary.
- Ensure confidentiality and security of payroll files, systems, and reports in compliance with various governmental regulations. Maintain payroll transaction records such as hires, promotions, transfers, terminations, leave of absences, and employee statistics for reporting and audit purposes.
- Process and prepare special payrolls, including stock option exercises, bonus payouts and garnishments with the proper approvals.
- Research pay information for employees, management, government agencies, which may include running reports or searching through payroll registers, year-end tax documents and filing, and reports.
- Collaborate with various stakeholders to include Human Resources (HR), accounting, treasury, internal auditing, and other teams. Work with Stock Administration, Legal, Tax and HR Department in the administration of payroll and equity related issues.
- Ensure timekeeping entries are accurate prior to processing and consult where needed.
- Responsible for resolving issues regarding direct deposits, employee payments, and vendor payments.
- Import data into systems and balance as required for accurate processing.
- Resolve and reconcile any General Ledger discrepancies.
- Serve as a payroll subject matter expert and provide support to payroll system users.
- Other projects and duties as assigned.
What You’ll Need – Qualifications & Requirements
- Bachelor’s degree or equivalent work experience.
- 7+ years of experience in local payroll processing and payroll tax experience.
- 3+ years' experience multi country payroll processing and payroll tax experience with Guatemala being one of the countries; experience using Workday software is strongly preferred.
- 3-5 years' experience in electronic timekeeping systems. Experience with certified payrolls, compliance, payment logistics, local renumeration laws and stock transactions is highly preferred. Job costing experience preferred.
- Demonstrated knowledge and advanced proficiency working with Microsoft Office Suite software including Microsoft Word, Microsoft Excel, Microsoft PowerPoint and Microsoft Outlook.
- Bilingual in English/Spanish required.
