These visits are often covered by Medicare or other insurance plans, making them a free service for the patient. The primary goal is to maximize the number of bookings to ensure patients receive the care they need and that the doctors secure the follow-up.
About the Role: The client is seeking a highly professional and articulate Virtual Assistant to specialize in outbound calling and appointment setting within the healthcare sector. The primary focus of this role is to connect with elderly patients to schedule essential, no-cost wellness and preventative care visits. This is an excellent opportunity for a communication-focused individual to join a growing health industry business.
Key Responsibilities
- High-Volume Outbound Calling: Consistently make a high volume of calls daily (targeting 150-200 unique calls) to a provided list of warm leads, including elderly patients who have recently been hospitalized or received post-acute care.
- Appointment Setting: Successfully book a high number of appointments for patients to receive follow-up visits with doctors. The target is to secure a large volume of bookings daily, with an expectation of potentially 40+ appointments on a productive day, as these are free, preventative visits covered by insurance (e.g., Medicare).
- Clear and Natural Communication: Engage with elderly patients in a well-spoken, natural, and culturally aligned English without a strong accent, ensuring conversations flow easily and are not perceived as being read from a script.
- Detailed Explanation: Clearly and patiently explain the value and necessity of the preventative care visits, including the benefit of avoiding prescription refill issues due to missed wellness checks.
Qualifications & Skills
- Excellent English Proficiency: Demonstrates clear, natural communication skills with a neutral accent to ensure effective interaction and understanding, particularly when engaging with an elderly audience.
- Healthcare Familiarity: Some background knowledge or familiarity with the healthcare industry, follow-up care, and hospital/rehab patient processes is important, although the primary skill is communication and booking.
- Bilingual Capability: Fluency in Spanish is highly desirable.
- Proven Experience in Communication: Demonstrated ability in high-volume outbound calling, telesales, or appointment setting, preferably in a warm or non-cold calling environment.
- Strong Interpersonal Skills: Ability to build rapport and trust quickly over the phone, with a patient and empathetic demeanor.
- Sales/Booking Mindset: A results-oriented approach focused on maximizing the number of appointments booked, understanding that the service is free to the patient and qualification is not required.
- Information Management: Utilize provided patient and insurance information (e.g., phone numbers, insurance numbers) and effectively use calling software/tools like RingCentral (or similar Power Dialers/CRMs) to maximize efficiency.
